What we collect
We collect the bare minimum needed to run a polling and voting platform for your organization:
Your account email and name (managed by our identity provider on our behalf), the name of the organization you create or join, and per-poll vote receipts — records that say you voted on a particular poll, with no link back to the option you selected. Admins of an organization can see member rosters, pending invites, and turnout numbers; admins cannot see how any individual voted.
We do not collect billing card data — our payment processor handles that end-to-end on a flat-rate annual plan. We do not run third-party analytics, advertising, or tracking scripts on the application.
Why we collect it
Three reasons, and only three:
— Identity and access. Our identity provider authenticates you and tells us which organization you belong to. — Turnout math and double-voting prevention. We record that you voted on a poll so admins can show "42 of 60 members voted" and so you can't vote twice on the same poll. The record does NOT include what you voted for. — Billing. Subscription tier and renewal state are recorded against your organization so we can keep your account in good standing.
Sub-processors
Here's everyone who touches your data:
— Microsoft Azure for hosting (Azure App Service for the API + Azure SQL Database for storage + Azure Static Web Apps for the web app and marketing site). — Clerk for identity, sessions, and billing (subscriptions and payments). — Azure Communication Services for transactional email (invite delivery, poll-open notifications). This is also a Microsoft Azure service.
We do not use any other sub-processor for processing customer poll or vote data today.
Data residency
Currently US-East region (Azure). Our application database, file storage, and compute all run in a single US region.
We do not currently offer EU or Canadian data residency. If you have a hard data-residency requirement, OrgPoll is not the right tool today. If we migrate, we will update this page first.
Retention
The audit log is append-only. Admins can read entries but cannot edit or delete them. We do not currently expire old audit events.
Vote receipts are retained for the life of the poll and its parent organization. Member rows are tied to the organization lifecycle — if your org is deleted, its members, polls, votes, and audit events are deleted with it.
If you delete your individual OrgPoll account but the organization continues to exist, your audit-log entries remain — the actor email and timestamp are part of the org's records.
Cookies and tracking
OrgPoll sets one category of cookie: a sign-in session cookie that keeps you signed in. It is strictly necessary for the application to function — without it, you would have to sign in on every page load.
We do not run third-party analytics scripts (Google Analytics, Mixpanel, Segment, etc.) in the application. The marketing site at orgpoll.com is a static site with no analytics today.
All traffic between your browser and OrgPoll runs over HTTPS.
Your rights
You can request a copy of the data we hold about you. Email support@orgpoll.com from the address tied to your OrgPoll account and we will respond with whatever is in the system for that account.
You can request deletion by asking your organization's admin (member rows) or by contacting support@orgpoll.com directly to delete your underlying account. Deleting an organization also deletes its members, polls, votes, and audit events.
We are a US-based service operating under US law; we do not currently offer GDPR or CCPA-specific opt-out flows. If you are an EU or California resident and have a specific request, contact support@orgpoll.com and we will work with you in good faith.
Changes to this policy
If we change how we handle your data, we will update this page first. Material changes (new sub-processor, new data category, change of data-residency region) will be called out in the change log section of orgpoll.com when we add one.
We do not currently send notification emails about privacy-policy changes. Bookmark this page if you want to check it periodically.
